Setting up a Dongle for the First Time


1. Plug in the Dongle:


  • Once in your car, plug in the dongle. You can use the USB port or a good quality USB adapter, but the USB port usually works best.


2. Turn on the Engine:


  • Turn the engine on and wait for the dongle to sync with the GPS satellite system. It might take up to a minute the first time.


3. Check the Green Light:


  • Ensure the green light on the dongle is flashing.


4. Start Driving:


  • If you start driving before the dongle finishes syncing, it should still be able to record your journey accurately. After your first few journeys, upload them to the Mileage Expenses GPS Uploader and make sure everything’s working.


5. Take Your Odometer Reading:


  • Take your odometer reading before you record your first journey with the dongle.


                                                                                                                                                                                                      


Uploading Journey Data from the Dongle to the Portal


1. Take Your End of Month Odometer Reading:


  • This should be taken on the last day of the month, after your last journey of the day.


2. Download the GPS Software:


  • If you’re using the dongle for the first time, download the GPS Software from the portal: mymotia.motia.com
  •  If the 'Download GPS Software' option is not available, please contact your Administrator or Support Team to enable the account.


3. Plug in the Dongle:


  • Once you have completed journeys with the dongle plugged in, plug the dongle into your computer’s USB port and open the Mileage Expenses GPS Uploader on your desktop.


4. Log In and Select Details:


  • Log in with the same credentials you use for the portal, select your vehicle details, and choose a default journey reason (e.g., ‘Business’). You can change the reason for each journey individually after it’s been uploaded.


5. Transfer Data:


  • Select ‘Next’ and your computer will search for the dongle. Once found, select ‘Get Track Data’ to transfer your journeys to your computer. After the upload, select ‘Login to Mileage Expenses website’ and check that all your journeys now show in your Driver Journey screen.


6. Erase Logger:


  • Once you have confirmed the journeys are in the portal, you can delete them from your dongle by selecting ‘Erase Logger’. The dongle holds around 6,000 miles worth of data. Once the memory limit is reached, no more journeys will be recorded. We recommend erasing the dongle monthly to prevent reaching the limit.
